You see, we’ve been conditioned to believe that success requires sacrifice—usually in the form of our time, energy, and sometimes even our well-being. We glorify the early mornings, the all-nighters, the 24/7 non-stop hustle, and the sacrifices we make to reach our goals and chase our dreams.

Let’s get personal. Years ago, I was working up to 100 hours a week and wearing my exhaustion like a badge of honor. I believed my constant hustle was the engine driving my business forward—until I completely burned out.
Although it was overwhelming at the time, this crisis became the best thing to ever happen to me.

It led me to discover time management techniques like the Pomodoro Method, which completely transformed how I work.
Beyond that, it forced me to confront an uncomfortable truth: despite all those hours, I wasn’t actually seeing proportional growth to the amount I was working. Instead, I was stuck in a cycle of diminishing returns.
It also made me realize that I wasn’t the only one. Business owners everywhere are stuck in the hustle trap.
“But Chris,” you say, “what’s the big deal? Everyone has their own way of doing things, and grinding is what works for me and is all I’ve ever known.”
The issue is, there’s a real danger in remaining trapped in the grind:
- Stagnant growth: The first is stagnant growth. When you’re consumed by low-value activities, you have no bandwidth to pursue higher-reward opportunities.
- Reactive decision-making: Without time to analyze metrics or trends, you’re making uninformed choices that keep you spinning in circles.
- Invisible lost revenue: You can’t see the opportunities you’re missing when you’re too busy maintaining the status quo.
- Identity crisis: When 80% of your day is spent on tasks outside your zone of genius, you start questioning your purpose and passion.

The new car will take a bit of getting used to, but ultimately it’s the best choice. Just like a new vehicle, AI will feel a bit unfamiliar at first—but before you know it, it’ll be your ticket to getting what you want—freedom, growth, and money, faster and easier.
In my opinion, every independent business owner should be using AI for at least these two fundamental purposes:

- Administrative tasks: The repeatable processes that consume your energy without directly generating revenue.
But to truly transform your business, we need to move beyond seeing AI as just a productivity hack. Instead, view it as a strategic partner that allows you to amplify what’s already working.

Before we move forward, I want to address the elephant in the room. One that’s on the minds of many creatives, small business owners, and entrepreneurs: “Is AI a threat to me?”
The answer—it can be, but not in the way you think. The biggest threat with AI is if you ignore how it can be leveraged as a tool, and hold misconceptions that keep you from using it. Here’s a few that I’ve hear a lot:
Misconception #1: “AI is like a human—it thinks and understands me.”
Reality: AI doesn’t think—it predicts. You provide the expertise and guidance; AI accelerates execution.
Misconception #2: “AI is coming for my job.”
Reality: AI won’t replace you—but someone using AI better than you might. It’s a tool that makes your strengths stronger and your time more valuable.
Misconception #3: “All AI tools are the same.”
Reality: Different AI solutions serve different functions. Some write, some analyze, some automate. Knowing the outcome you want helps you select the right tool for each job.
Misconception #4: “Using AI is inauthentic or lazy.”
Reality: AI doesn’t replace your voice—it amplifies it. Delegating routine tasks to AI is no different than hiring help; it’s a strategic use of your most precious resource: time.
The “smarter not harder” playbook: Your 3-step framework to leveraging AI
“Ok,” you say, “I’m fully bought in. But how do I use AI to escape the grind and accelerate growth?” You’ll need a systematic approach. Here’s my 3-step framework to build out your personalized AI playbook:
1. Discover your highest-performing activities
The first step is applying the 80/20 rule—otherwise known as the Pareto Principle—to identify what’s truly driving results in your business. The concept behind the 80/20 rule is that 80% of your outcomes come from just 20% of your efforts.
Start by analyzing three key areas:
- Process Bottlenecks: Which 20% of your workflows consume 80% of your time?
- Client Relationships: Which 20% of clients create 80% of your service load (or revenue)?
- Offer Performance: Which 20% of your services generate 80% of your revenue?

Once you’ve identified your growth drivers and time-drains, it’s time to make strategic decisions about what deserves your attention.
For tasks that are necessary but not the best use of your expertise, consider:
- Using AI tools to automate repetitive processes like notetaking, or client FAQs.
- Creating AI-assisted workflows for administrative tasks.
- Eliminating activities that don’t meaningfully contribute to growth.
A photographer client of mine discovered that editing consumed enormous amounts of her time without directly moving the needle on the amount of revenue she was bringing in. By implementing AI-powered image editing, she reduced weeks of work to mere hours—and even created a new revenue stream by offering expedited delivery as a premium service.
Try this prompt to help with delegation decisions:
“Here’s a list of tasks I regularly do to run my business: [list your key tasks]. Help me identify which of these are essential to business growth, client success, or brand reputation—and which could be delegated, automated, or removed. For each, explain why it is or isn’t a must-do.”
3. Double-down and document your winning processes
The final step is systematizing and documenting what works so it becomes repeatable, scalable, and even more efficient.
Documenting your successful processes matters because it:
- Prevents you from constantly reinventing the wheel
- Makes delegation (to humans or your AI tools) nearly effortless
- Frees your mental bandwidth for strategic thinking
